wanted to see if a small model could handle accounts payable, which is honestly one of the most boring jobs in finance. so i set up xero with 120 supplier bills waiting for approval, \~$871k across 35 suppliers. fake data, real screen recording, nothing sped up
each bill gets checked against the stuff an AP clerk would check: earlier bills (for duplicates), the purchase order and prices, the receiving log (did the stuff actually arrive), the contract terms and sales tax, and the supplier’s bank account on file
took about 10.6 sec for all 120. approved 107, held 11 and rejected 2 as duplicates. that’s $157,264.17 that would’ve gone out the door
my favorite catch was a $15k bill from a steel supplier. it was a duplicate of one billed nov 1 that was already scheduled for payment, and on top of that the invoice said net 45 while the contract says net 30. so two problems in one bill, and the note in xero spells out both. the decisions get written back into xero too: approved bills move on, and the held ones get a note explaining why
matched my answer key 120/120
the part i keep thinking about is that duplicates and wrong terms are exactly what slips through when a person is clicking approve on bill #87 at 6pm on a friday
